The chat assistant (artificial intelligence)
The first replies in the chat come from a virtual assistant, an AI program, and the chat tells you so from the start. The model runs on our own servers, not with an outside provider, so your messages do not go to other companies. The assistant makes no decisions on our behalf: you can ask for a person from the team at any time, and the team reads the conversation so they can reply to you.
IP address
When you open the site, your IP address is used in the moment to choose the language for your country and to limit how many messages can be sent in a short time. We do not store it with your messages and do not keep it in logs. Your IP address is also seen by Cloudflare, whose network delivers the site to you (see below).
Who has access to the data
Only the Providence Lab team, through the password-protected admin panel. The data is kept on our own servers in the Republic of Moldova. Our only outside provider is Cloudflare, Inc. (USA), whose network delivers the site to you: it protects the site from attacks and makes it load faster. Everything you send to the site, including the form and the chat, passes encrypted through Cloudflare to our server. Cloudflare processes this data only on our behalf, as a processor (Art. 28 GDPR), to deliver and protect the site. The transfer to the USA is based on the EU–US Data Privacy Framework, under which Cloudflare is certified, and on the European Commission's standard contractual clauses. We do not sell, rent or give your data to other companies. We may pass it to authorities only where the law requires us to.
If you write to us from the European Union
The Republic of Moldova is not part of the European Union. When you write to us from the EU, your data comes directly to us in Moldova, and we protect it by the same rules as in the EU, in line with the GDPR.
How long we keep the data
- Form messages and chat conversations: at most 24 months after the last message. After that they are deleted automatically.
- If you become a client: the data the contract needs, for as long as the law requires.
- Backups of the site: 14 days, then deleted automatically.
Your rights
You have the right:
- to know what data we hold about you and receive a copy;
- to have it corrected if it is wrong;
- to have it deleted;
- to have its use restricted;
- to object to its use based on our legitimate interest;
